The Vacation Test

If you turned your phone off for 48 hours, what would break first?

Whatever came to mind is your starting point. Not the org chart, not every process you could eventually write down - the handful of things that only work because you're there to make them work. Those break points are your Minimum Viable Structure.

Nancy Brittain, founder of Colorado Therapy Collective, started with the process that cost her the most time and let the rest of her Waybook take shape around it. That first document now saves her six to eight hours of management time on every new hire.

The four building blocks

A well-organized Waybook uses four levels, so everything has an obvious home:

  • Categories are broad collections - a division, a business unit, or a type of information. Company Library. Operations.

  • Subjects are folders of related knowledge your team already thinks in. Client Onboarding. Policies. Site Safety.

  • Documents cover one process or policy that someone is accountable for.

  • Steps are the individual instructions inside a document.

Categories are purely for navigation and don't carry permissions. Subjects, Documents and Learning Paths do, which is why Subjects end up being the level you manage access at. Member types vs. permissions covers how that works.

  • Map your business as it is today, not as you expect it to look in five years. A small team can start with a single Category and add more as departments grow.

When someone asks, your first response becomes: is that in the Waybook yet? If it is, send the link. If it isn't, take sixty seconds to draft it, or ask the person who owns that process to write it up while it's fresh.

And when a question doesn't fit anywhere in your structure, that's your business telling you it's time for a new Subject. Let your team's real questions shape how your Waybook grows.
