Two Smart Views to Understand Your Team

Waybook’s Org Chart includes two flexible views to help you plan, organize, and scale your team structure:

Role Chart

Get a top-down view of your organization by role. Whether you're hiring, restructuring, or refining responsibilities, the Role Chart helps you build with intention - even before team members are in place.

What you can do:

  • Design a future-ready team structure, before hiring

  • Clarify how roles connect and reporting lines flow

  • Identify key documentation relevant to roles

    • You'll still need to set permissions at a Group or Member level

Planning to expand your support team? Use the Role Chart to define roles like Head of Support, Support Manager, and Support Agent - with responsibilities and documentation in place before recruitment begins.

Member Chart

The Member Chart maps out who’s in each role and who reports to whom. It’s your real-time, interactive org chart - always up to date and easy to navigate.

What you can do:

  • Instantly see your team’s reporting structure

  • Identify gaps, overlaps, or unassigned roles

  • Access role context and contact details at a glance

Need to know who reports to your Sales Manager - and how to reach them? The Member Chart gives you instant clarity, no digging required.


Who Can View the Role & Member Charts?

Control visibility to support the way your team works best.

Whether you're sharing your structure broadly or keeping it focused within leadership, you can decide who sees your Org Chart by heading to Settings > Options.

Choose to give access to:

  • Admins & Managers only – Ideal for planning and structuring before rollout

  • Everyone – Great for promoting clarity, alignment, and ownership across the team

As your team evolves, you can adjust visibility to match your stage of growth, keeping everyone as informed as they need to be.

Org Chart editing is limited to Admins and Managers, so your team structure stays accurate and secure.

How to Set Up Your Org Chart

Setting up your Org Chart is fast, intuitive, and designed to grow with you.

  1. Go to Organization and open the Org Chart tab.

  2. Switch between views - Role Chart or Member Chart - depending on what you need.

  3. Create Roles & Assign Managers

    • In the Role Chart, click + to add a new role

    • Name the role and outline key responsibilities

    • Define its place in the hierarchy by setting a parent role

    • Add relevant tags for clarity and organization

  4. Assign Members to Roles

    • In the Member Chart, click + to add a new team member

    • Choose who they report to

    • Add their job title and contact information

  5. Update as your team evolves

    • Easily move roles or reassign members as your structure changes
