Optimize Your AI Experience by updating your AI Settings ✨

  1. Navigate to Settings and to your AI Settings.

  2. Set your preferred tone of voice and language, and tailor the document types AI writes for you.


How to Use the AI Document Writer

  1. Open Create from the left-hand menu and select Assistant, or choose AI Writer when populating a new document or step.

  2. Choose a document type, like General, SOP, or Policy, so AI writes in the right format from the start.

  3. Enter a brief description of the document you need.

  4. Press send to let Waybook's AI Writer generate your content.

  5. Request edits or refinements as needed.

  6. Once you're happy, choose a Subject to save it to, or attach it to the current document.

  7. Customize your document further by splitting it into steps, inserting images, or embedding media.

Document Types

Every document type comes with a built-in prompt that tells AI how to structure and write that kind of content. Choosing the right one means less editing for you and more consistent documents across your team.

Waybook comes with five document types ready to go:

  • General - documents that don't fit a specific format, like notes, overviews, announcements, and write-ups.

  • SOP - formal, repeatable processes that need governance, with owners, scope, and compliance wrapped around the steps.

  • Procedure - step-by-step instructions to complete a single task. Lighter than an SOP, without the formal governance sections.

  • Policy - formal rules, expectations, and compliance requirements.

  • Resource - reference material, FAQs, background knowledge, and explainers.

💡 Waybook Tip:

  • Not sure which to choose? Start with General, then shape the result with AI Actions.

Customizing and Adding Document Types

Document types are yours to shape. Admins can fine-tune the prompt behind any type, or add brand-new ones, so AI writes content the way your team already works.

  1. Under Document Types, select the edit icon next to any type to update its name, description, or prompt. Drag the types to reorder how they appear.

  2. To create a new one, click Add Document Type, then give it a name, a short description, and a prompt that tells AI how to write it.

  3. Click Save. Your changes apply the next time anyone uses the AI Document Writer.

  • The prompt is where you shape the output. The more specific your instructions, the more consistent your results.

AI Actions revolutionizes your editing experience, making content creation faster and more efficient. Here's how:

  1. Navigate to the Step you want to update.

  2. Highlight the text you'd like to improve.

  3. Select an AI Action to enhance your content:

    • Fix Grammar

    • Summarize

    • Expand

    • Turn into a Process

    • Professional Tone

    • Explain This

    • or enter a Custom Prompt

How to Create Tests with AI

Ensure your team understands new policies by adding an AI-generated test.

  1. Open the document where you'd like to add a test.

  2. Click the arrow next to "New Step" and select "New Test Step".

  3. Choose "AI Test" from the list.

  4. Watch AI generate relevant questions based on the document content.
