Using Templates in Waybook

Learn how to use Waybook's Template Library and create Internal Templates to speed up content creation and maintain consistency.

Templates help you create Documents faster while maintaining consistency across your organization. Waybook offers two types of templates: pre-built templates from our Template Library, and Internal Templates you create for your own team.


Accessing Templates

There are two ways to access templates in Waybook:

When creating a Document: Whenever you create a blank Document, Waybook gives you the option to choose a template as a starting point.

From within Create:

  1. Click Create in your left-hand edit menu

  2. Select Templates at the bottom of the creation options

  3. Browse both Waybook Template Library and your Internal Templates


Waybook Template Library

The Template Library contains expert-created templates built by our process experts and Waybook insiders. These templates provide proven structures for common business processes, saving you from starting from scratch.

To use a Waybook template:

  1. Access templates through Create > Templates

  2. Browse categories to find relevant templates

  3. Click Use This Template in the top right corner

  4. Customize the template with your business information and specific details

Templates are organized by category, making it easy to find what you need, whether you're creating SOPs, policies, training materials, or other business Documents.

Internal Templates: Your Custom Starting Points

Internal Templates are reusable Document structures you create for your own team. They act as blueprints that help your team produce content quickly while keeping everything consistent and on-brand.

Why use Internal Templates:

  • Save time - Avoid starting from scratch every time you create similar Documents

  • Delegate confidently - Empower your team to draft content within pre-approved structures

  • Maintain consistency - Ensure every Document aligns with your brand style and standards

Creating an Internal Template

  1. Draft or find a Document with the structure you want to standardize

  2. Click Settings at the top right of the Document editor

  3. Select Templates & Sharing

  4. Scroll to Template Library and click Convert

  5. Choose whether to maintain the existing Document (optional)

  6. Select the Subject where your template should be stored

  7. Review and publish your template

πŸ’‘ Pro tip: Create a Subject called "Internal Templates" to keep all your templates organized in one place.

Using Your Internal Templates

Once created, your Internal Templates appear alongside Waybook templates when you:

  • Create a new Document and choose a template

  • Access Create > Templates and select from your Internal Templates

Your team can then create high-quality Documents quickly without worrying about formatting or structure, focusing instead on the content that matters.


When to Use Each Type

Waybook Template Library:

  • Starting a new type of Document you haven't created before

  • Looking for industry best practices and proven structures

  • Building your initial Waybook structure

Internal Templates:

  • Creating Documents you make frequently (weekly reports, meeting agendas, specific SOPs)

  • Maintaining your organization's specific formatting and style

  • Delegating content creation to team members while ensuring consistency
