Audit Logs provide a complete record of activity in your Waybook, helping you maintain compliance, track changes, and understand how your team interacts with your knowledge base. This feature is essential for organizations with compliance requirements or teams that need visibility into content evolution.

What Audit Logs Track

Audit Logs record detailed information about events in your Waybook:

Content Activity:

  • Documents, Subjects, and Steps created, updated, deleted, or restored

  • Publishing and draft status changes

  • Content imported, exported, or duplicated

  • Document ownership updates

  • Templates used

Learning Paths:

  • Learning Paths created, published, updated, or deleted

  • Learning Path access and assignments

Team and Access:

  • Team members added, updated, archived, or deleted

  • Member group changes and access updates

  • Document, Subject, and Learning Path access modifications

  • Bookmarked content activity

System Settings:

  • Team settings and configuration updates

  • Features enabled or disabled (like Waybook Ask)

  • CNAME and silent mode changes

Collaboration:

  • Comments created

  • Document review requests

  • Feedback left on Steps

Each log entry includes who performed the action, when it occurred, and what changed.


Accessing Audit Logs

Navigate to Reports in your Waybook and select Audit Logs to view the complete activity record for your organization.

Only team admins can access Audit Logs, ensuring sensitive activity data remains secure and visible only to authorized users.


Filtering and Finding Information

Audit Logs include powerful filtering to help you find exactly what you need:

  • Filter by time period - View activity from specific dates or date ranges to track changes during particular timeframes.

  • Filter by action - Focus on specific types of events like Document Created, Team Member Updated, Learning Path Published, or any of the dozens of trackable actions.

  • Filter by member - See all activity from individual team members to understand their contributions or investigate specific actions.

  • Combine filters - Select multiple time periods, actions, and members simultaneously to create precise reports that meet your exact requirements.


When to Use Audit Logs

  • Compliance and Auditing - Provide documentation of content changes and access control for regulatory requirements or internal audits.

  • Content Evolution Tracking - Understand how Documents have changed over time, who made updates, and when modifications occurred.

  • Security Monitoring - Track permission changes, member access updates, and unusual activity patterns.

  • Team Accountability - See who's contributing to your knowledge base and how different team members interact with content.

  • Troubleshooting - Identify when and how changes occurred if something unexpected happens in your Waybook.

  • Change Management - Monitor the impact of organizational changes by tracking related updates to content and permissions.


Understanding Log Entries

Each Audit Log entry provides:

  • Timestamp - Exact date and time the event occurred

  • Actor - Team member who performed the action

  • Action - What happened (created, updated, deleted, etc.)

  • Resource - What was affected (Document name, Subject, member, etc.)

This comprehensive information helps you understand not just what changed, but the complete context around each event.


Privacy and Access

Audit Logs are visible only to team admins and Waybook support staff. This ensures sensitive activity information remains secure while giving authorized users the visibility they need for compliance and management purposes.

Log data is retained to help you maintain historical records and meet compliance requirements, even for team members who may have left your organization.

  • Regular Reviews - Periodically review Audit Logs to stay informed about team activity and content changes.

  • Use Multiple Filters - Combine time period, action, and member filters to create specific reports for compliance or investigation needs.

  • Monitor Key Actions - Pay particular attention to high-impact events like Document Deleted, Team Member Archived, or access permission changes.

  • Document for Compliance - Export or document relevant log entries for compliance audits or regulatory requirements.

  • Track Learning Path Changes - Monitor Learning Path creation, updates, and access changes to ensure training programs stay current.
