At Waybook, we know that keeping your content accurate and up-to-date is crucial. A clear review process helps your team maintain high-quality, reliable information—empowering everyone to work smarter.

That’s where Submit for Review and Approval Process come in. Together, these features streamline collaboration, improve accuracy, and ensure every document meets your team's standards before it’s published.

Submit for Review

Submit for Review is your first step towards effortless content collaboration. Anyone with edit access can suggest updates or propose new content, sending it directly to a team member with publish access for review.

How Does Submit for Review Work?

  1. Edit a document or add a step, then click Submit for Review.

  2. Select a team member with edit access to review the document.

  3. The reviewer receives an email with a direct link to the content needing review.

  4. The reviewer can approve, reject, or suggest further changes—ensuring every update is accurate before it’s published.

💡 Need feedback from multiple team members?

  • You can assign multiple reviewers to ensure that every aspect of your content gets the right level of oversight.

Approval Process

For more structured reviews, the Approval Process adds a multi-stage sign-off workflow, ensuring the right people review and approve each document before publishing.

Setting Up An Approval Process:

  1. Navigate to the document you want to set up and open its Settings.

  2. Go to Approval Process in the side panel.

  3. Create an Approval Process, naming each stage and assigning individuals or groups to approve.

  4. Click Save Approval Process.

  5. Once ready, submit your document for approval—Waybook will guide your team through each stage.

💡 Approval stages can be adjusted even after activation. Any changes will automatically apply to future reviews.

Track Reviews with Full Visibility

Both Submit for Review and Approval Process give you complete oversight:

  • Know Who’s Reviewing: Easily see who’s responsible for each review.

  • Monitor Progress: Stay updated on review statuses, helping you spot bottlenecks and avoid delays.

Why These Features Work Better Together

Combining Submit for Review with the Approval Process creates a robust review flow:

  • Initial Feedback: Use Submit for Review for quick checks and content suggestions.

  • Formal Sign-Off: Use Approval Process when a multi-level sign-off is needed.

Together, they ensure your content is checked from all angles—without slowing your team down.

✨ Waybook Tip

  • If a team member with publish access submits a document for review, they can still request feedback from others—ensuring every update gets the attention it deserves.
