Understanding the Reader Dashboard

Learn what your team sees on their dashboard and how admins can customize it to improve engagement and guide progress.

Written by Elle

Your Waybook dashboard is designed to provide a streamlined, focused experience - showing your team members only the content they need, when they need it. As an admin or manager, understanding what your team sees helps you guide them through training and ensure nothing gets missed.

What Your Team Members See

Your Waybook dashboard displays several widgets and features designed to keep your team focused on the right content at the right time.

Start Here Widget

This widget helps your team prioritize by showing Learning Paths, Documents with upcoming deadlines, and incomplete Documents that require completion. Readers always know what to focus on next, reducing overwhelm and supporting steady progress.

Additional Dashboard Widgets

Beyond the Start Here widget, your team has access to several widgets that help them navigate and use your knowledge base effectively.

  • Learning Paths - Shows each member the Learning Paths they've been assigned, styled the same way as the paths view in their sidebar. Add this widget to put onboarding and training in front of your team the moment they log in.

  • Organizational Updates - Important announcements, news, and polls from leadership. This keeps everyone informed about company-wide information and allows teams to provide feedback through polls.

  • Required Document Progress - A visual progress indicator showing completion percentage across all required Documents, helping readers track their overall progress at a glance.

  • Bookmarked Documents - Your team can bookmark Documents for quick access. Bookmarked items appear in a dedicated widget on their dashboard for easy reference.

  • Recently Viewed - Shows recently viewed Documents so your team can pick up where they left off without searching.

  • Notifications - Displays unread notifications about Document assignments, comments, and updates that require attention.

  • Achievements - Shows badges and milestones earned for completing Documents, using features, or reaching learning goals.

  • Links - Quick access to external tools and resources your organization uses, like payroll systems, CRM platforms, or calendars.

Search and Waybook Ask

Located in the top bar, your team can search for keywords, Steps, and titles within their assigned content, or use Waybook Ask to get AI-powered answers to questions based on your documented knowledge.

Content Access

Other than your admins, your team can only see content they've been given access to via group membership or individual Subject and Document permissions. Content outside their permissions is completely hidden, keeping their dashboard clean and focused.

Adjusting the Left-Hand Menu

Your team can resize the left-hand menu to suit how they work. Hover over the right edge of the menu, then drag it wider or narrower.

Waybook saves the width to each person's account, so their Waybook opens exactly how they left it every time they log in. There's nothing to reset on every visit.

A wider menu makes long document titles easier to read and helps your team see more of your structure at a glance. A narrower menu frees up space for reading. Members can also collapse the menu entirely when they want to focus on a single document.

Customizing the Dashboard

Admins and managers can customize the dashboard for the entire organization to improve engagement and reflect your brand.

Changing the Header Image

Update the header image to display your company branding or a welcome message:

  1. Switch to Edit mode to make changes

  2. Press the Settings icon at the top of your dashboard

  3. Select from our library of images or upload your own

  4. Press the Save Changes button in the top-left corner

The new header will appear for all team members across your organization. For guidance on choosing an image that works well with your widgets, see our dashboard header best practices.

Managing Widgets

Add, remove, or reorganize widgets to prioritize what matters most to your team:

  1. Switch to Edit mode to make changes

  2. Hover over a widget to edit it, or press the + Add Widget button

  3. Drag and drop widgets to reorder them

  4. Press the Save Changes button in the top-left corner

This lets you emphasize certain widgets like Start Here, Learning Paths, Bookmarks, or Recent Documents based on your team's needs.

Checking What Readers See

While you can't log in as a reader, you can review and manage their experience in two ways.

Progress Matrix - Navigate to Reports > Progress Matrix to see which Documents a user has access to, check their completion status, and view what's reference-only and what requires completion. Learn more about Waybook Reports.

Exit Edit Mode - Toggle out of Edit mode to preview your dashboard and Documents as readers see them, helping you review layout and Step formatting.
