Public Subjects let you share multiple Documents with freelancers, contractors, or partners who don't need a Waybook account. This is perfect when you want to share knowledge without tracking progress or requiring tests.
While publicly shareable Documents are available to all Waybook customers, sharing entire Subjects publicly is a Waybook Pro feature.
When to Use Public Subjects
Share with external collaborators - Give freelancers or contractors access to multiple related Documents without adding them to your team.
Distribute reference materials - Share brand guidelines, onboarding resources, or product information with clients or partners.
Provide mobile access - Generate QR codes that people can scan to instantly access your content from their phones.
Simplify access - Share knowledge without requiring logins, invitations, or account creation.
How to Make a Subject Public
Click the Subject name in the left-hand menu to open it
Go to Settings and to Sharing & Templates
Toggle on Enable Public Sharing
Copy the automatically generated share link
Waybook creates both a short link you can share directly and a downloadable QR code for easy mobile access.
Important Limitations
When people access Public Subjects or Documents, you won't be able to:
Track their progress or completion
Require them to complete tests or assessments
See who has viewed the content
Enforce completion requirements
Public sharing is for read-only access to knowledge, not for tracking or accountability. If you need to monitor progress or test understanding, invite people to your Waybook team instead.
Managing Public Access
You can disable public sharing at any time by toggling off Enable Public Sharing in the Subject's share settings. The share link will immediately stop working, preventing further access to the content.
