Creating Documents with AI

Learn how to use Waybook's AI tools to create SOPs, policies, and resources quickly with the Assistant (Document Writer) and Document Ideas.

Creating comprehensive documentation from scratch takes time you don't have. Waybook's AI tools help you move from blank page to polished content in minutes, whether you're writing individual Documents or building entire content structures.

Accessing AI Tools

Click Create in the left-hand menu, then select AI Tools. You'll see two options:

  • Assistant (Document Writer) - Create individual Documents with AI guidance

  • Document Ideas - Generate suggestions for Documents to add to your existing Waybook structure


Using the Assistant (Document Writer)

The Assistant helps you create focused Documents by guiding you through the process and generating content based on your needs.

Getting started:

  1. Click Create or AI Tools > Assistant

  2. Select the type of Document you're creating:

    • SOP (Standard Operating Procedure)

    • Policy

    • Resource

  3. Describe what you want to create

Ways to provide information:

  • Type your prompt - Write a description of the Document you need

  • Upload source files - Provide context documents that the AI can reference

  • Use dictation - Speak your requirements instead of typing them

  • Generate example prompts - Get inspiration from AI-suggested prompts if you're not sure where to start

Refining your Document:

After the AI generates initial content, you can:

  • Give follow-up prompts to refine specific sections

  • Adjust tone, length, or focus areas

  • Add or remove details

  • Request changes to formatting or structure

Once you're satisfied, save the Document to your chosen Subject or continue editing manually.


Using Document Ideas

Document Ideas helps you build your Waybook structure by suggesting relevant Documents based on your business needs and existing content.

How it works:

  1. Click Create or AI Tools > Document Ideas

  2. Describe your business and what you're looking to document

  3. AI generates suggestions for Documents that would benefit your organization

  4. Review the suggestions and select which ones to create

  5. Add selected Documents to your Waybook structure

This is perfect for:

  • Building comprehensive training programs

  • Creating department-specific documentation

  • Developing complete onboarding flows

  • Expanding your existing knowledge base


Tips for Better AI Results

  • Be specific - The more detail you provide, the better the AI output will be. Include information about your industry, team size, and specific requirements.

  • Use source files - Upload existing documents, templates, or examples to give the AI context about your organization's style and needs.

  • Iterate and refine - Don't expect perfection on the first try. Use follow-up prompts to adjust and improve the content.

  • Choose the right Document type - Selecting SOP, Policy, or Resource helps the AI structure content appropriately for your needs.

  • Try dictation - Sometimes speaking your requirements is faster and more natural than typing, especially for complex processes.


After AI Generation

AI gives you a strong foundation, but you'll want to:

  • Add company-specific details and examples

  • Review for accuracy and completeness

  • Adjust tone to match your organization's voice

  • Add images, videos, or other media

  • Break content into appropriate Steps

The AI handles the heavy lifting of structure and initial content - you add the final touches that make it perfect for your team.
