Understanding Waybook Notifications and Emails

Learn when you'll receive notifications and emails from Waybook, and how to manage them to stay informed without being overwhelmed

Waybook keeps you informed about tasks, updates, and changes that matter to you through smart notifications that respect your time and attention. Here's how our notification system works and when you'll hear from us:


In-App Notifications

In-app notifications appear at the top right of your Waybook, giving you a central place to stay on top of everything that needs your attention. You'll see notifications for:

  • Comments on documents you're involved with

  • Documents due for completion or currently incomplete

  • When you become a document owner

  • Documents awaiting your review

  • When you're given access to a document (for example, when you're added to a group that has published documents)

This ensures you're aware of new resources available to you without having to hunt for them.


Smart Notification Filtering

Our notification system is smart about when to alert you. We won't send an assigned access notification if:

  • You've already completed that document previously (prevents spam if you're moved between groups)

  • You've already been alerted because the document was just published

  • The document is hidden

  • Your team is in Silent Mode

  • You've turned notifications off in your settings

When reader feedback is left on a document, the document owner receives a notification. We also send round-up notifications that summarize multiple updates, so you're not constantly interrupted by individual alerts.

If you don't mark notifications as read, we'll send you an email reminder to ensure important updates don't slip through the cracks.


Email Notifications

We send several types of emails to keep you informed and help you get the most from Waybook.

Getting Started

When you first join Waybook or need access, you'll receive onboarding emails like invitations, email verification, welcome messages, password resets, and magic links for quick sign-in.

Staying on Track

Our maintenance emails help you stay on top of your work without overwhelming your inbox:

  • Weekly Roundup (sent Mondays) - Summarizes incomplete documents, due documents, and unresolved comments. Only sent if you haven't already actioned these items via the notification bar.

  • Assignment and Update Emails - Sent when you're assigned a new document or major changes are made to documents you need to complete. These arrive 30-45 minutes after publication, allowing us to batch multiple notifications into one message.

Remember: You only receive emails for documents you're required to complete, so your inbox stays focused on what actually matters to your work.

Important Changes

Alert emails notify you when a new Waybook owner is assigned. Both the old and new owner receive this message to ensure proper handoff and clear accountability.


Managing Your Email Delivery

Understanding how your emails are performing helps ensure your team stays informed. You can view email delivery, open rates, and click-through rates through Email Insights in your Reports section.

To check email insights:

  1. Navigate to Waybook Reports

  2. Find the Email Insights section

  3. Toggle on Error Message to see specific delivery issues

This shows you which emails are reaching your team and which might be blocked or failing delivery.

Not Receiving Emails?

If you're not receiving emails from Waybook, check these common causes:

  • Notification Settings - Navigate to your personal settings to ensure you haven't turned off email notifications or unsubscribed.

  • Email Address - Verify your email address is correct in your profile - a simple typo can prevent all delivery.

  • Deliverability Issues - If problems persist after checking settings and your email address, consult our email deliverability guide for advanced troubleshooting.

Silent Mode for Teams

Team admins can enable silent mode to temporarily pause notifications for everyone on our Pro plan - particularly useful during major updates or migrations when you want to avoid overwhelming the team with alerts while you're setting things up.


Our notification system is designed to keep you informed without creating noise. You get the updates you need, when you need them, without the distraction of irrelevant alerts.
