Unlocking the Potential of Your Team's Knowledge

Capturing and organizing information is essential for creating powerful documentation that drives efficiency and clarity. Waybook offers two methods to bring your content to life: Smart Convert and Import. Each serves a unique purpose, helping you decide how best to add and refine your team's knowledge.

What Is Smart Convert?

Smart Convert is an AI-powered tool designed to transform unstructured information into organized knowledge documents.

When to Use Smart Convert:

  • You’ve added notes or content in the Notes feature.

  • You’ve gathered multiple documents in Context for use in a single, structured Waybook document.

How It Works:
Smart Convert analyzes your selected Notes or Context Files, extracts key information*, and converts it into a standard knowledge document that lives in your selected subject. You can then refine it further to suit your team’s specific needs.

*Smart Convert will not port over any images found in your files.

Benefits:

  • Saves time by automatically structuring content.

  • Provides a solid foundation for creating polished documentation.

  • Optimizes workflows by turning scattered information into actionable knowledge.

What Is Import?

Importing allows you to bring existing .docx documents (such as from Word or Google Docs) directly into Waybook. This creates a one-to-one replica of your document within the platform.

When to Use Import:

  • You have pre-structured content that you’d like to optimize directly in Waybook.

  • You want to maintain the exact formatting and layout of an existing document.

How It Works:

  1. Simply upload your .docx file, and Waybook will generate an identical version for your team to edit and enhance.

  2. Use the Split Step feature to break down lengthy or detailed content into manageable sections, making your documentation more digestible and effective.

Benefits:

  • Keeps formatting intact for a seamless transition.

  • Lets you build on existing materials with minimal effort.

  • Allows you to fine-tune and split complex content for clarity and usability.

Which Method Should You Choose?

  • Use Import if you want a direct copy of a .docx file in your Waybook

  • Use Smart Convert if you:

    • Want to merge one or more existing files into a single Waybook document

    • Have files containing information that are not .docx files (such as PDFs)

By understanding the difference between Smart Convert and Import—and utilizing tools like Split Step—you can transform your content into actionable knowledge, saving time and creating clarity for your team.
