Welcome to Your Single Source of Truth ✨

Right now, your company's knowledge might be scattered across Microsoft Teams, email, and different drives. This creates information silos and a constant cycle of repetitive questions that slow your team down.

Waybook is designed to turn that scattered information into a structured Operating System. By the end of this module, you’ll have the blueprint for a centralized knowledge base that makes onboarding faster, training smoother, and scaling effortless.

The Architecture of a High-Performing Waybook

A well-organized Waybook isn’t just about neatness - it’s about clarity. To build a structure that mirrors your actual business, we use four simple building blocks:

  • Categories (The Departments): The highest level of organization. Use these for broad labels like Marketing, Operations, or Human Resources.

  • Subjects (The Functions): Folders that group related documents within a category. For example, inside your Marketing category, you might have subjects for Social Media, Branding, or Events.

  • Documents (The Units of Knowledge): This is where the knowledge lives. A document covers one complete process or policy (e.g., How to Submit Expenses).

  • Steps (The Actions): The individual instructions or pages inside a document.

Think of Categories as your Org Chart and Subjects as your Playbooks. If you're a small team, you can start with just one Category (e.g., Company Library) and add more as your departments grow.

Mapping Your Knowledge with AI

You don't have to build this architecture from scratch. Waybook’s AI can generate a complete organizational roadmap based on your specific industry and team size.

  1. Click the AI Icon in the bottom left of your sidebar.

  2. Select Document Ideas.

  3. Describe your business (e.g., 'A 15-person Digital Marketing Agency').

  4. Waybook will instantly suggest a roadmap of Subjects and Documents tailored to you.

🚀 Activation Challenge

  • Run the AI Document Creator once today. Even if you don't keep every suggestion, it’s the fastest way to see how a complete Waybook structure looks for a business like yours.

Defining 'Completion-Ready' Documents

A common mistake is making Documents too broad. To keep your single source of truth clean, ensure every Document meets these three criteria:

  • One Outcome: It covers one specific process from start to finish.

  • Accountable: One person or role can be responsible for it.

  • Verifiable: You could assign a test or a sign-off to ensure someone knows this document.

✨ Case Study

  • SponsorCloud transformed their onboarding process by creating a structured, centralized knowledge base. By moving away from scattered tools and into a clear Waybook hierarchy, new hires ramped up significantly faster and teams gained consistent access to essential info.
