Publicly Shareable Documents

Learn how to share individual Documents with people outside your organization using public links and QR codes.

Public Documents let you share specific content with freelancers, contractors, clients, or partners who don't need a Waybook account. This is perfect when you want to share knowledge without tracking progress or requiring logins.

Public Document sharing is available to all Waybook customers. Waybook Pro members can also share entire Subjects publicly - learn more about Public Subjects here in the help centre.


When to Use Public Documents

  • Share with external collaborators - Give freelancers or contractors access to specific Documents like onboarding guides or process instructions without adding them to your team.

  • Distribute reference materials - Share brand guidelines, product specifications, or how-to guides with clients or partners.

  • Provide mobile access - Generate QR codes that people can scan to instantly access your content from their phones.

  • Simplify access - Share knowledge without requiring logins, invitations, or account creation.


How to Make a Document Public

  1. Open the Document you want to share publicly

  2. Click Settings in the top-right corner

  3. Scroll to Sharing & Templates

  4. Toggle on Enable Public Sharing

  5. Click Copy Share Link to copy the link to your clipboard

Waybook creates both a short link you can share directly and a downloadable QR code for easy mobile access.


Important Limitations

When people access Public Documents, you won't be able to:

  • Track their progress or completion

  • Require them to complete tests or assessments

  • See who has viewed the content

  • Enforce completion requirements

Public sharing is for read-only access to knowledge, not for tracking or accountability. If you need to monitor progress or test understanding, invite people to your Waybook team instead.


Managing Public Access

You can disable public sharing at any time by toggling off Enable Public Sharing in the Document's Settings. The share link will immediately stop working, preventing further access to the content.


Public Documents vs. Public Subjects

  • Share individual Documents when you want to provide access to specific content pieces like a single policy, guide, or procedure.

  • Share entire Subjects (Waybook Pro) when you want to provide access to multiple related Documents, like a complete onboarding program or training module. Learn about Public Subjects.
