What notifications or emails will I get?

Learn more about when you or the team will be notified about updates to your Waybook and how to manage them.

At Waybook, we understand the importance of staying informed about your tasks, progress, and updates within the platform. We provide in-app notifications and email to help you make the most out of our features. In this guide, we'll cover the various email and product notifications you might receive and explain how they work.

In-App Notifications:

In-app notifications are there to help you stay on top of any updates from within Waybook. These notifications can be found at the top right of your Waybook.

We will send you a notification for any comments, documents due to be completed, any incomplete documents, becoming a document owner, or any documents to review, that you might need to know. When reader feedback is left a notification will be sent to the owner of that document. We will also send a round-up notification to summarise all of these.

If these notifications are not marked as read you will get an email.

Emails

There are different emails that you might get once signed up for Waybook. These can be grouped into onboarding, maintenance, and alerts.

  • The Onboarding Emails are Invites to join a Team, verify email, welcome to Waybook (this can also be re-sent if needed), reset the password, and link to sign in (this can also be re-sent if needed).

  • Maintenance Emails are weekly round-ups that include incomplete documents, due documents, and comments. These emails are only sent if not actioned via the notification bar. If you are assigned a new document or a major change has been made to a document an email will be sent to ensure these are also completed.

    • The weekly roundup email is sent once a week on Mondays.

    • Any other email will be sent roughly 30-45 minutes following the publication of a document or the sending of a comment. This ensures that we can batch notifications together for one email.

  • Alert Emails are sent to let you if a new Waybook owner has been assigned. This is sent to the old owner along with the new owner to ensure correct action is taken.

Check Emails within Reports

To ensure that your emails are sent correctly and effectively, Waybook provides Email Insights within your reports.

How it works:

  1. Navigate to your Waybook reports.

  2. Look for the "Email Insights" section within your reports.

  3. Here, you can find detailed information about the delivery, open rates, and click-through rates of the emails sent from Waybook.

  4. Use this information to assess the performance of your email communications and make necessary improvements.

  5. Toggle on "Error Message" to see which emails are being blocked or failing to be delivered to the team.

Not Getting Emails?

If you are not getting any email this might be due to having email notifications turned off, unsubscribed, or bounced email. To check which notifications you have turned on navigate to your personal settings and check which emails you have toggled on.

If you are still not receiving emails check that your email is written out correctly. If you are still having email deliverability problems follow the linked guide for additional support.
