Your Waybook Is Live - Now Make It Better

You've built the structure, invited the team, and launched. The most successful teams treat what comes next as a rhythm rather than a finish line.

This module isn't about perfect metrics. It's about listening to what your data tells you, keeping ownership spread across your team, and checking the one number you chose back in Module 5.


Signals of a Waybook-first culture

Before you look at a single graph, watch for the qualitative wins. You'll know you've moved from implementing a tool to operating a system when:

  • The search-first habit: you overhear a manager say, "I could tell you, but it's faster if you search the Waybook."

  • The feedback loop: team members don't just mention a confusing process, they suggest a better way directly on the step.

  • The onboarding shift: new hires start contributing sooner, because they have a clear map instead of a list of people to interrupt.


Your insights at a glance

Your Reports Dashboard is the command center. Rather than getting lost in the data, focus on three high-impact areas:

  • Document performance - a snapshot of your library's health, including what's published and what's still in draft. Quick win: find the drafts that are nearly finished and publish them.

  • Team performance - your most active members, badge leaders, engagement rates and average completion. Quick win: recognize your champions publicly so others see what good looks like.

  • Search and Ask data - what your team is looking for, and what they're asking Waybook Ask.

Every report you build can be filtered by group, Learning Path, document or member, saved to your library, and exported as CSV, PDF or XLS. On Pro, Scheduled Reports can land in your inbox before your monthly review, so nobody arrives empty-handed.

Two reports for high-impact wins

The dashboard tells you what's happening. These two tell you where to spend your next 15 minutes.

The Progress Matrix

The Progress Matrix shows where every team member stands across everything they have access to. Read it in both directions: a row tells you who might need ten minutes of your time, and a column tells you which document most people slow down on - usually a sign it would work better split into shorter steps.

Search Insights

This is where you find your zero-result searches. They're pure gold - a direct list of what your team needs and can't find yet. Fix one a week and your Waybook grows in exactly the direction your team is pulling it.

Don't skip your top searches either. The content people reach for most has to be easy to find, current and thorough.

Search Insights also covers Waybook Ask: the questions your team has asked, how many messages each conversation took, and whether people rated the answer good or poor. Filtering by poor ratings shows you where the underlying documents need work - Ask is only ever as good as the content behind it.


Give every document an owner

A document with no owner is everyone's job, which usually means it's nobody's. Assigning owners is what moves you from editing the business to running it.

To assign an owner

  1. Open the document and click Edit.

  2. Select Settings from the side panel.

  3. Under Owners & Verification, toggle Document Owners on.

  4. Choose the team member or members responsible for keeping it accurate.

Their avatar appears on the document, so your team always knows who to ask.

To do it at scale, click Manage in the left-hand sidebar, then Bulk Actions, then Assign Document Owners. You can set ownership across your whole Waybook in one sitting. Assigning document owners covers it in full.

Creator Insights in your reports then shows what each person owns, how much of their content is published, and what's sitting in review or waiting on approval - so a backlog surfaces early, while it's still easy to fix.

On Waybook Pro, owners get a second tool. Document Verification asks a named person to sign off a document, and revokes that verification whenever it's republished. Add Date Reset and the review happens on a schedule - every 6 or 12 months - with the reminder arriving in their weekly summary. Trust is the asset here: the reason your team checks Waybook first is that the answer is always right.

Building a feedback culture

The fastest way to keep your Waybook accurate is to let the people using it tell you. Waybook's Feedback tool lets readers rate steps and leave comments.

One rule makes it work: when someone suggests an improvement and you make the change, tell them. "Hey Sarah, I updated the refund process based on your feedback." That small acknowledgment turns a reader into a contributor.
