From Library to Learning Path

You have the content. Now you decide what someone sees first, second, and third.

A library is something people browse when they remember to. A Learning Path is something that trains them.

Build a path for one role

Start with the role you hire most often. The second path takes a fraction of the time once you've seen the shape of the first.

  1. In edit mode, select Paths from the left-hand menu.

  2. Click + New Learning Path.

  3. Name your path and add a brief description.

  4. Add Documents and arrange them in the order you want them completed.

  5. Check that every Document is published.

  6. Set access by choosing member groups or individuals.

  7. Activate your Learning Path and share it with your team.

Sections: the bases you want covered

Sections are where a path stops being a list and becomes a plan. Open your path in the Builder, click Add Section, name it, and group your Documents underneath.

They do two jobs at once.

For the person taking the path, a section holds their attention on one thing at a time, so week one doesn't arrive alongside month three.

For you, building it, the section names are your checklist of the bases you want covered. Sections like Before your first shift, How we work, Your role and Your first month make the gaps obvious while you're still filling them.

💡 Waybook Tip

  • Name your sections before you add a single Document. It turns an empty path into a brief, and the documents you're missing name themselves.

You can also click Add a Task to put real-world actions in the path alongside the reading - book your first shadow shift, collect your kit, set up your van. Tasks appear in your reports next to Documents, so you can see the whole process, not just what's been read.


When order and pace matter

Two settings decide how tightly a path is held together, and the right answer depends entirely on what the path is for.

Forced Order, toggled on in the Builder, requires each Document to be completed in sequence. Nothing gets skipped and nothing gets read out of context.

Deadlines on a Learning Path keep people moving at a pace you've set rather than one they find for themselves.

Onboarding vs everything else

Onboarding paths: turn both on. A new starter has no map of your business yet, so sequence and pace are doing real work. Forced Order means health and safety lands before site access. Deadlines mean week one gets finished in week one, and you find out on day three if someone's stuck, not on day thirty.

Ongoing training and reference paths: usually leave both off. A tenured team member picking up a new system already knows how your business works, and forcing them through in order slows them down without adding anything. Let them take what they need, when they need it.


Two kinds of deadline

Waybook has two, and they do different jobs.

Learning Path deadlines are always relative. Each person's dates are calculated from the day they're given access, so one path works for every new starter without you touching it again. Set how long each Document should take, and use the arrows to apply deadlines in bulk across the path. These are for momentum.

Document deadlines are set in the document's own settings and can be a Specific Date or a Relative Date. On Pro, toggle Recurring on to set a recurring period, a reset date, and a grace period - annual safety training that resets itself, without anyone maintaining a spreadsheet. These are for compliance.

💡 Waybook Tip

  • Deadlines only apply to people who are required to complete that content. If a date isn't showing, check completion requirements first. Document deadlines covers both types in full.


Reading isn't knowing

Someone opening a document tells you they've seen it. These two features tell you they've understood it.

Confirmation Steps

Adds a Knowledge Confirmation box to your document. Your team member checks it to confirm they've read and understood, and those confirmations show up in your reports.

Best for policies, handbooks, and anything where you want a clear record that someone has signed up to it. See how confirmations work

Tests

Click New Step, select Test Step, then build the questions yourself or choose Create with AI to generate them from the document. There are eight question types, from multiple choice to file upload, and you set the Pass Rate.

Best for processes where the details matter and a misunderstanding costs money or time. See how tests work

Passing a test does more than tick a box. It gives someone the confidence to get on with the job without checking in first, which is the whole point of the path.


See how it's landing

The Progress Matrix in your reports shows where every team member stands across everything they have access to. It's the fastest way to spot someone who's stalled in week one and needs ten minutes of your time.

It's also worth looking at column by column. If one Document is where most people slow down, that's a signal worth acting on - it's often a sign the document is doing too much and would work better split into a few shorter steps.
