Editing Steps

Learn how to use Waybook's editor to format content, add media, and create engaging Steps that your team will actually want to read.

Creating engaging Steps keeps your team interested and helps information stick. Waybook's editor makes it easy to format content, embed media, and highlight important information without wrestling with complicated tools.


Getting Started

Toggle Edit Mode on in the top-right corner of your dashboard to start editing your Documents.

Once in edit mode, you can create and format content within your Steps using the editor toolbar and formatting options.


Adding and Formatting Content

Text Formatting

Select any text to open the formatting menu, where you can:

  • Make text bold, italic, underlined, or strikethrough

  • Add links to other Documents or external pages

  • Change text color using Waybook's palette or your brand colors

  • Adjust text alignment (left, center, right, justify)

Headings and Structure

Click the + icon to add content blocks, then click the six dots to access options including:

  • Headings (H1, H2, H3, H4) to organize content

  • Bullet points or numbered lists to outline processes clearly

  • Tables to present information visually

  • Dividers to separate sections within Steps

Rich Content

Use the toolbar at the top of your Step to add:

  • Images and diagrams to illustrate concepts visually

  • Videos from YouTube, Vimeo, Loom, and more (learn about video embedding)

  • PDF embeds to include reference documents

  • File attachments for downloadable resources

  • Emojis to add personality and visual interest

  • Code snippets for technical documentation

  • Quotes to highlight testimonials or important statements


Highlighting Important Information

Callouts

Insert callouts to draw attention to key points, tips, or best practices. These highlighted sections help important information stand out, ensuring your team notices critical details or helpful guidance.

Callouts are perfect for:

  • Pro tips and best practices

  • Important warnings or cautions

  • Key takeaways

  • Additional context or explanations


Managing Content Within Steps

Reordering Content

Press and hold the menu icon (six dots) next to any content block, then drag and drop it to its new location within the Step. This makes it easy to reorganize content as you refine your Documents.

Content Block Actions

Click the six dots next to any content block to:

  • Delete content you no longer need

  • Duplicate sections to reuse formatting or structure

  • Change alignment for text and images

  • Modify settings specific to that content type


Creating Engaging Steps

  • Use variety - Mix text, images, videos, and formatting to maintain interest and accommodate different learning styles.

  • Keep it digestible - Break long blocks of text into shorter paragraphs, lists, or separate content blocks.

  • Highlight what matters - Use callouts, bold text, and headings to draw attention to important information.

  • Add visual context - Include images or videos when explaining processes that benefit from visual demonstration.

  • Structure logically - Use headings and dividers to create clear sections within longer Steps.

The goal is creating content that's easy to scan, understand, and act on - helping your team get the information they need quickly and efficiently.
