Learn more about the improvements and new features launched to Waybook this month

September's update is a big one. The AI Assistant is rolling out to every team, and the tools around reviewing and approving your content have some love too. Build faster, and keep the right checks in place before anything reaches your team.

Here's a look at what's new:


The AI Assistant, Now in Beta

The AI Assistant is your new Waybook best friend. Open the panel, tell it what you need in plain language, and it gets on with the work.

It can draft a document from a prompt, turn files you already have into structured content, and apply the formatting of a document you like to another one. It can also track down something buried in your Waybook, and show you where your documentation has gaps. Its list of skills is growing all the time.

Your other AI tools are still right where you expect them. The AI Document Writer is there when you create a document, AI Actions still fix grammar and tighten wording as you write, and Waybook Ask still answers questions from Search. The Assistant is the one you can hand a whole job to.

🚀 Quick Win

  • Open the AI Assistant and ask it to identify knowledge gaps in your Waybook. It's the quickest way to see what's worth documenting next.


Compare Versions

Comparing versions of a document has had a serious upgrade. Tracked changes now go right down to the word, rather than flagging a whole section as changed.

When you review what moved between two versions, you see exactly which words were added and which were removed, without reading the whole step to spot the difference. It works across your step revisions and your document versions.

You can also export a version comparison as a PDF, which makes keeping an audit trail straightforward. And comparisons now appear on approval process pages, so reviewers can see precisely what changed before they sign off.

Copy Approval Process

Setting up approvals across a lot of documents is now a single action. Head to your Document Management view, select the documents you want, and choose Bulk Actions > Copy Approval Process.

Pick a document that already has the approval process you want, and Waybook applies that setup to everything you've selected. There's a toggle to enable the approval process on those documents at the same time. Worth knowing: this replaces any approval process the selected documents already have.

If you've been building the same reviewer chain document by document, you can now get a whole category configured in one go. Your content goes through all the necessary checks and balances before it's published, and setting that up is no longer the slow part.

💡 Waybook Tip

  • Approval processes are set per document rather than at subject level, so documents you add later won't inherit the setup automatically. Run the bulk action again once you've added a batch of new content

Alt Text on Images

You can now add alt text to the images in your documents.

Alt text describes what an image shows, so anyone using a screen reader gets the same information as everyone else. It also displays in place of the image if it doesn't load.

If your processes lean on screenshots and diagrams, it's a small addition that makes your documentation work for your whole team.

Learning Paths Widget

There's a new dashboard widget for Learning Paths, so you can put your paths front and center for your team.

Switch to Edit mode, press + Add Widget, drag it wherever you want it on the dashboard, then press Save Changes. Your team sees the paths they've been assigned as soon as they log in, styled the same way as the paths view in their sidebar.

If you're running onboarding or a training program through Waybook, this puts the path in front of people at the moment they arrive, rather than leaving them to go looking for it.

Import Improvements

Getting your existing content into Waybook is more reliable this month.

Most PDFs created with Microsoft Print to PDF now import, which covers a lot of what teams have sitting in shared drives. Pasting from rich text no longer duplicates your images. And when a source file does fail to process, Waybook now explains why rather than stopping quietly.

If you have years of process documentation living in other tools, there's a smoother path into your Waybook.

MCP and Single Sign-On

Waybook MCP connects your Waybook to AI tools like Claude, ChatGPT and Gemini, so they can answer questions from your own documented knowledge. Setting that up is smoother now if your team signs in with single sign-on.

The connection carries your team's domain through to the sign-in step, so you land in the right place. And if you sign in with SSO and have never set a password, you can authorize the connection without one.

Shots and the Mobile App

Shots, Waybook's browser extension for capturing your screen, has had an update. You can now record video without a microphone, so screen capture works whatever your setup.

Waybook for Mobile has had a busy month too, with a long run of fixes right across the app. If your team reads and completes documents on their phones, it's a smoother ride. Screenshot blocking is coming to Pro teams soon, so keep an eye out.
